By 8:17 in the morning, the day may already be trying to tell you something.
A team member has called out. One provider is running behind. A nervous patient will need a little extra time. The schedule is unusually heavy. Someone at the front desk knows about one issue, the clinical team knows about another, and the physician knows something no one else knows yet.
None of those things has to become a crisis.
But when the team discovers them one at a time, in the middle of a busy morning, they create the kind of avoidable chaos that everyone can feel.
The patient feels it at check-in. The employee feels it when they’re caught off guard. The physician feels it through interruptions. The practice leader feels it while trying to pull the day back together.
Five-star practices aren’t problem-free. They’re prepared.
And preparation can begin with five minutes.
Five minutes to see the day before it sees you
A strong morning huddle gives the team one brief, consistent moment to look at the day together.
It’s where information becomes shared awareness.
Who needs special consideration today? What has changed? Where could the schedule get tight? What should the team watch closely? What progress are we making toward our goals? Who deserves a shout-out?
Most importantly:
What is the ONE thing that matters most today?
That question creates focus.
The answer might be staying ahead of patient wait times on an unusually heavy schedule. It might be collecting outstanding balances at check-in. It might be giving extra attention to patients affected by a staffing change. It might be making sure every new patient leaves with a follow-up appointment.
Whatever it is, the team should leave the huddle knowing the one priority that deserves everyone’s attention.
When everyone knows what matters, they make better decisions throughout the day without waiting for the practice leader to direct every move.
A five-star experience for everyone
When I talk about building a five-star practice, I’m talking about the experience of everyone inside it.
For the patient, the practice feels calm, thoughtful, and prepared. Someone communicates before the patient has to ask. Special circumstances have already been considered. Small details feel intentional.
For the team, there are fewer surprises. Employees know what’s coming, where help may be needed, and how they can contribute to a successful day.
For the physician, there are fewer avoidable interruptions and less time spent answering questions the team could have addressed together that morning.
For the practice leader, the huddle creates a daily leadership rhythm. Instead of beginning the day in reaction mode, you begin with clarity.
That’s the real value of a five-minute huddle. It creates alignment before the day starts pulling everyone in different directions.
Use the huddle to lead the day
The best huddles are focused and consistent. Move through the same key areas each morning:

Flag special considerations, schedule changes, and opportunities to make the experience more personal.
▶︎ What team updates will affect the day?
Share staffing changes, coverage needs, or information everyone needs.
▶︎ What is the ONE thing that matters most today?
Give the entire team one clear point of focus.
▶︎ What should we watch out for?
Name potential trouble spots early so the team can respond thoughtfully.
▶︎ Who deserves a shout-out?
Recognize a helpful action, a job well done, or someone who stepped up.
▶︎ What milestones should we remember?
Note birthdays, work anniversaries, vendor lunches, or anything else that matters to the team.
▶︎ How are we progressing toward our goals?
Keep the numbers that matter visible and connected to daily work.
▶︎ Where can we add a little wow?
Look for one thoughtful action that could make a patient or team member feel genuinely cared for.
Each question has a purpose. Together, they help the team walk into the day informed, connected, and ready.
Keep the promise of five minutes
A huddle works because it is brief.
When a larger issue comes up, capture it and schedule the right follow-up with the people who need to be involved. The huddle keeps moving, and the issue still receives the attention it deserves.
At the end of those five minutes, your team should be able to say:
We know what today looks like. We know what matters most. We know how to help one another. And we’re ready.
That’s how a five-star day begins.
