AI Policy for Medical Practices (How to Use AI Safely in Healthcare)

A practice administrator recently told me her staff were already using AI to help draft patient letters, summarize meetings, and rewrite policies.
She had no idea.
No policy. No training. No guardrails. Just smart, well-meaning team members trying to save time.
And that is the quiet risk most practices are walking into right now.
Here is what is happening in practices across the country.
A staff member pastes a patient message into a free AI tool to get help wording a response.
Another drops an entire policy document into a chatbot to clean up the language.
Someone else uses AI to summarize a meeting that included patient names, complaints, or financial details.
None of it feels like a big deal in the moment.
But every one of those actions may have just sent protected information to a system your practice does not control.
Why this matters right now
AI tools are genuinely useful. I use them. Many of my clients use them. They can save hours of work, improve communication, and take pressure off overloaded teams.
The problem is not AI itself. The problem is that most practices have not stopped to define how their team should use it.
And when there is no system, people improvise. That is true for phones, scheduling, check-in, and it is absolutely true for this new(er) technology.
Without clear guidance, your staff is making judgment calls every day about what is safe to share with an AI tool. Most of them have no training to make that call.
What a simple AI policy should cover
You do not need a 20-page document. You need clarity. Here is a practical starting point you can build from.
1. Approved tools. Name which AI tools are allowed and which are not. Free consumer versions often store and learn from what users type. Paid business versions with proper agreements in place, and privacy settings are a different conversation. Your team needs to know the difference.
2. What never goes into AI. Be specific. Patient names, dates of birth, medical record numbers, diagnoses, insurance details, phone numbers, addresses, financial information, and anything from the EHR. If it could identify a patient, it does not go in.
3. What is okay. Generic tasks like drafting a template letter, brainstorming wording, cleaning up grammar, or summarizing general information with no identifying details. Give your team permission to use AI well so they do not work around the rules.
4. The pause test. Before anyone pastes anything into an AI tool, they should ask one question: If this ended up on the internet tomorrow, would it be a problem? If the answer is yes or maybe, do not paste it.
5. Who to ask. Name a person in the practice who handles questions about AI use. This keeps your team from guessing and gives leadership a way to catch patterns early.
6. Training and review. Policy without training is just paperwork. Walk your team through real examples. Review the policy again in six months, because this space is moving fast.

The leadership piece
Here is where this becomes a leadership issue, not a tech issue.
If your team is afraid to ask about AI, they will use it quietly. If they are told never to touch it, they will use it anyway and hide it. Neither of those outcomes protects your practice.
The practices handling this well are doing something different. They are opening the conversation. They are saying: we know you are curious about these tools; here is how we want you to use them, what is off-limits, and who to ask.
That approach protects the practice and respects the team. It is the same principle behind every strong policy in a medical practice. Clarity reduces risk. Silence increases it.
